Full Job Description
The HR department exists to develop and deliver our people strategy in collaboration with key stakeholders across the firm. The department is there to enable the attraction, development and deployment of talent and think about all stages of the employee lifecycle. This includes recruitment, learning and development and employee engagement alongside reward and staff policies. There is also a regulatory element, we ensure that our policies and practices comply with all the necessary legal requirements. Our role is ultimately about ensuring the firm has the talent it needs to create great investment performance and a superior client experience., The HR Advice team is responsible for providing an effective, efficient, and professional service to colleagues across Baillie Gifford. We deliver a variety of HR activities throughout a colleague's time at the firm and are passionate about the delivery of an excellent employee and manager experience, which is underpinned by our Shared Beliefs. An opportunity has arisen for an HR Adviser to join the team on a secondment basis. This will be a varied role, which will combine providing advice and guidance to employees and managers, ensuring Workday is accurate and up to date, and supporting department and Firm-wide projects. You will work with a range of stakeholders across the firm, interacting and advising on a daily basis.,
- Delivering the first line of HR advice to the firm, providing quality and clear guidance, as well as an excellent and responsive service.
- Owning the end-to-end of HR Advice case delivery requested by employees and managers which includes: + producing documentation as the need arises for different stages in the employee lifecycle process, including job changes, long service, and resignation/retirements. + maintaining personnel files in line with the legislative and regulatory requirements and the needs of the business. + creating/updating data in Workday, staffing updates, payroll updates, etc. in accordance with defined processes whilst adhering to strict deadlines.
- Managing the HR Inbox (ServiceNow) on behalf of the team on a rotational basis, answering queries at source and raising cases where further action is required.
- Delivering weekly reporting to ensure relevant HR data is distributed across relevant stakeholders, and to feed into department wide data.
- Creating, maintaining, and archiving files in an efficient and timely manner, as required.
- Supporting colleagues on major life events such as parental leave, ensuring colleagues and managers are equipped with the right knowledge and resource to support throughout.
- Building and maintaining relationships with 3rd party suppliers and other teams who form part of our processes such as Resourcing, Payroll, SAM team and our vetting supplier.
- Contributing to the ongoing review and improvement of the HR Advice team, by taking a proactive process ownership approach and contributing to the department continuous improvement activities.
- Using ServiceNow, Workday, Excel and PowerBI, work with our People Data and understand the MI to constantly improve our processes and employee experience.
- Support other teams in the department to allow successful delivery of cyclical activities or projects.
